TEMPLATE DESCRIPTION

When you are working on a project, you must ensure the sustainability of every project from the very beginning to its end. After all, one of the main tasks of a project manager is to provide the effectiveness and efficiency in company’s best interests. This Kanban Board Excel Template lets you track your entire process by preparing a scrum board.

With Kanban Board following each step will no longer be a painful process. Even without a software program or another tool. All you have to do is input the necessary data into the database and refresh the workbook to display all your results.

Kanban Board Excel Template Features

Basically the template has 4 main sections:

Kanban

In this section, you will display the kanban cards depending on the selected board and the filter you choose.

You may check and display the projects under many filters such as priority, responsible person, task due date, overdue and time until due date.

If you have more than one board you may also input that data in the database and display your tasks in each border separately or you may also display all by choosing “All” from the board section.

It is also possible to change the order of the board status by choosing the required status from the drop-down list and delete the unnecessary ones on Kanban Sheet.

Dashboard

On the Dashboard section, you may check the performance and the general view of your projects. Once there is a change in your data the template has to be refreshed by the refresh button on the template.

You may also find the notes section on the right upper corner if you have any notes for any task or project.

Database

You can use database to input your task and it’s properties. Just select the board section, responsible person, priority and stats from the drop-down menu (To be able to select them you need to list your options in the settings section).

The Finish Date is the date that you completed the task and the Due Date is the date that has been set for the end of project.

If you have any notes you may input in the remarks section.

Settings

You can use the data you input area in settings section, to be later on selected on other sections.

Type down your statuses in “Status Section“, Responsible People to “Team Members“, your boards to “Board Section” (if you have more than one).

Following that, you may define five priority levels and decide their color represenatations in the Kanban Board. Overdue % Settings forms the Overdue Percentage Chart on the Dashboard. Define your levels for each priority to see it on the Dashboard.

Select your desired Date Format as well as the connector style to be used for dates. You can also decide on the overdue principle, from Overdue definition settings. Information on both options are provided within the yellow instruction notes.

Offering a next level of customization, you can even decide the exact data to be shown in the Kanban board. For this please use the Card Data Selection.

      Hi Michael,

      You can integrate your file into our Kanban Board template as follows:

      1. Open both files at the same time (Kanban and Your File).
      2. On Kanban File, unprotect your workbook:
      Review > Protect workbook and enter your password.

      3. On the Kanban file, Display your sheet tabs as explained here.

      4. Go to your file. Right click on the first sheet. Click on Move or Copy.
      On the Move or copy window, select the Kanban file as a book, click on (move to end) and be sure that Create a copy box is checked before clicking on OK.

    I would like to add a worksheet to keep up with my attendance during my status calls and add the teams features from Rally. How can I enable the insert new worksheet?

      Hi Sanandia,
      Please follow the steps below to add a new worksheet separately:

      * Unlock both worksheet and workbook. How can I unlock the sheets?
      * Open the sheet tabs. Where are the sheet tabs?
      * Please click the plus sign on the right side of the sheet tabs to add a new sheet.

    Hello,

    I’ve bought your excel kanban board in an editable version as I need to add more columns in the kanban.

    Anyway, if I add more columns and extend the formatting I’m having some problems as it seems that the formatting refers to an invisible sheet called Kanban_Helper.

    Can you please advise on how I can add more column to the kanban?

      Hi Giulio,

      You may make modifications on Someka’a ready-to-use templates.

      The Kanban Board has six sections in the existing file. To add more columns to the board you’ll need customization to the template.

      We usually send our products “locked” in order to prevent any user mistakes. So before doing any modifications you should firstly unlock your sheets and workbook.
      Go to Review > Unprotect Sheet (Workbook) and enter your password. To learn more about unlocking your sheets and workbook please click here.

      To see the hidden sheets you have to display sheet tabs.
      Go to File > Options > Advanced, and under the Display options for this workbook, please be sure the Show sheet tabs box is checked. To learn more about displaying sheet tabs please click here.

      To show the hidden sheets, Right Click on any of the sheets and click on Unhide, then select the sheet you want to unhide:

      On the existing file the board is designed to have six different sections at the same time. If you add more columns you have to customize all the formulas and formatting stuff.

    The % Complete isn’t working properly. It shows 100% at the 50% level in the cell. It isn’t filling in the cell completely. This is for the Kanban spreadsheet.

      The “Work Progress” column can be selected from the dropdown option. So, you can select the percentage of work progress manually. We attached the picture below to show you how you can select it.

    I purchased it today, however, i cant see the Calc sheet after unlocking the worksheet. I can now see the sheets but not the Calc. Same with Jamie, i would like the date format to be mm/dd/yyyy.

    First, I love Someka templates in general. Very professional looking, and my boss is always impressed by the level of detail. I have been using the Kanban Board (which is FREEE!!!!!!). I loved it, far superior than any of the other Kanban Boards out there. Personally, I don’t care for the online versions…. even if they are free… I want it in Excel, I am an Excel girl, and I can easily provide either the Kanban board or the dashboard to my boss with my weekly status report. I decided there were a few things that I would like to customize, so I considered purchased the license to modify the Single-User License. I wanted to be sure I would be able to do what I wanted before I made the purchase. I got on the online chat (love that), and spoke with Mario. He answered all my questions, and even warned me that any changes made to the template could potentially “break” it if did not know what I was doing. I advised him that I was a BA & a developer, so I was in the habit of maintaining my original file “untouched” and versioning all changes, so I could go back and undo by going back to my previous version. I have made some alterations, and everything woks great. One of my favorite upgrades is upon selecting any cell with a dropdown menu the tab magnifies to 150%, so I can see & make my choice easily! For anyone that is a BA or a PM this is by far the best Kanban Spreadsheet. And even if you don’t know Kanban… the workbook guides you through the process. Download it now, you will thank me!

    Basically, it’s really amazing, but there is one problem: the definition of “Overdue” is obviously wrong. Overdue is usually defined as when the system date is past the “Due Date”, but in this sheet, it is defined as when the “Finish Date” is after the due date. This means that tasks that are not completed by the due date will not be shown as Overdue at all. I am hesitant to buy the paid version just because of this problem.

    I purchased it today and like it very much. But, I would like to modify the sheet so that the date appears month, day, year instead of day, month, year?

      Thank you for your interest!
      It is possible to change the date format in the template but you have to follow some steps. First, you should unlock the template with the password you received just after download the modifiable version.
      Now, you will be able to display the sheet tabs.

      Once you do those steps, please unlock the “Calc” sheet which is hidden. On this sheet, please paste the below formula to Cell J8. (First input line of “Kanban Due Date to Display” column)
      (=IFERROR(IF(I8=$AD$3;$AD$3;CONCATENATE(MONTH(I8);””.””;DAY(I8);””.””;YEAR(I8)));””””).
      Now, all the changes need to be applied to each row on this column. After that, please check that is it changed properly on the dashboard section or not?

      Lastly, please make sure that you didn’t corrupt anything inside the template.

    Greetings,
    I have downloaded the free SOMEKA kanban template to try it if it suits me or not.
    I noticed if I copy and paste my employees’ names and tasks from my old excel files, SOMEKA kanban template doesn’t provide accurate data.

    for example, the “Work Progress” column, should show a horizontal yellow arrow when the task is 50% or more. However, after pasting my employees’ names and tasks from another file, the “”work progress”” changes all and give the wrong indication.

    Does the file except copy and paste or must enter each task manually?

      First of all, thanks a lot for your interest and for your detailed comment and questions!

      We mostly recommend manually entering your data into the template, otherwise, you can also paste the existing format into the original file when re-pasting. This may affect the template structure and causes corruption within the template. If you want to copy and paste, please be careful not to paste any formatting options from another file.

      You can select the latest status of the work progress from the dropdown. So, the work progress percentage selection is entirely yours. The arrows inside the “Work Progress” column can be changed, so once you download the modifiable version of the template you can set totally different icons for that column as well.

    I want to use the Kanban form for incident management. I tried to update the names of the team members and reassign things and the settings sheet and the other sheets do not update.

    I tried it on the locked version and an unlocked version and neither one of them worked. I did add a column on my sheet but I went back to the original to see if I had broken something.

    Neither file works correctly. Notice in your file it is not unlocked, I changed the names in the settings and they are not reflected anywhere else. Can you help?

      First of all, please try to download the fresh file again from the link you received from us just after the payment process. We should state that you don’t have to unlock the template to reflect the data to the kanban board or dashboard.

      You just have to click the “Refresh” button on the dashboard section to update the template and see the results of the data you have inputted.

    I have downloaded the free version to check if this tool is suitable for our purposes and if it is, I will most likely buy it. However there are two open questions: sometimes there is not just one person responsible for a taks. Is it possible to add more people who are responsible for the task? And if yes, how? And when I add a new date, the time frame is not shown in Task Due Date. How can this be fixed? Or are these features only available in the premium version?

    I need help. Using the Kanban template I purchased for the first time. What ever I updated under the Setting Tab, does not show up on Database tab. All sheets are unlocked. Can you help?

      You should click the little dropdown button on each row at the Status column to select the status you have newly added. You may have clicked the wrong button in the heading just to the right of the word “Status”. We have shown the right button you should click below.

      Once you unlock the template with the password you received, you can modify it according to your needs. Please unlock the template and display the headings, now you can add columns for your personal usage.

    I’m writing about the Kanban Board Excel Template. It appears that in the Kanban tab there’s only enough room for 6 sections. However, in the Settings tab, I am able to add multiple sections. The only problem is that the Kanban tab only allows for 6 sections.

    How would I overcome this obstacle?

      Thanks a lot for your review!

      Yes, you can edit the titles on the Kanban Board section. There are dropdown buttons on each title to select the status section you entered in the setting section before. So, you can change the titles completely or reorder them all by choosing from the dropdown button. For now, however, the template can display up to 6 status sections at the same time.

      We have attached the picture below to show you how you can change the section from the dropdown button.

    Hi! I just ordered this kanban board and love it the only problem is the date is in a different format and when I update format the date format on Kanban board isn’t capturing due date in same format. I reverted back to original setting and the date I enter auto changes to different format.
    The format I would like to see is short date for start & end date with either format below.

    MM.DD.YY
    OR
    MM/DD/YY

    I think the date format is making my tasks appear is overdue in error since formula is set up for another time zone. I am using US calendar central time. Any help is much appreciated.

      First of all, thanks a lot for your interest!

      The “Overdue” warning message is totally related to the Finished Date and Due Date column. When the Finished Date of the work passed the Due Date, the template is showing an Overdue warning on the Kanban Board. So, the Overdue warning is not actually related to the date format. Please be careful entered finished date has to be on sometime before the due date to not getting an Overdue warning.

      Making an update on the Kanban board template is already on our development team schedule for the customers who want to use MM/DD/YYYY format. So, when there is any update, we will let our customers know it.

      We develop and test our templates only for Microsoft Excel.

      Some of our simple templates may work in other spreadsheet software as well. But we cannot guarantee if all the features will work though, as we don’t test them in Google Sheets or OpenOffice.
