We frequently see businesses put people at the forefront of everything they do. We often read that people are the most important asset of companies, and surely, this asset needs to be stable. As part of this bigger picture, companies spend a lot of time and effort recruiting people for their teams.
Recruitment Tracker Excel Template aims to help human resources professionals in making the recruitment process easier and more efficient. While most businesses do not use a particular system for recruitment plans, recent studies show that it can be very beneficial to have some statistics on this process by implementing tracker solutions.
Recruitment Tracker Excel Template Features:
Having recruitment data and the ability to efficiently analyze them can help decision-makers a lot. These decisions include but are not limited to the timing of recruitment campaigns and which channels to place them. We often see that the number of candidates is significantly higher in one quarter and significantly lower in another.
Also, the trends of application sources are shifting too. This can help channel all energies, efforts, and costs in a time and place where we will get the right people.
This Excel template is divided into four main sections:
Dashboard:
The recruitment dashboard will give you clear and useful insights into what is the overall situation in the company. Here you can see the number of candidates from the first consideration until hiring, the hiring costs, the active job openings, the percentage of the source distribution of the candidates, and the monthly distribution of job applications.
To show the results and analysis more clearly, the dashboard is divided into two separate parts which are candidates and vacancies statistics.
In order to make everything as user-friendly and efficient as possible, there are some filters for custom reporting. You can display stats based on your monthly selections, based on months & years, years only, job IDs, department, or based on recruiters. You can also apply multiple or all filters at once, and the charts will update accordingly in real-time.
Please keep in mind that the date filters on top of the dashboard only affect the recruitment pipeline, sources of applications, and final decision charts of candidate statistics.
There is a separate date filter selection for the number of applications by month. If you leave the year selection is empty, the chart will show all of the results. Otherwise, you can filter the chart according to the year selection.
Vacancies:
The Vacancies section is where you can add job openings with all the necessary details. Recruitment Tracker Template supports up to 1000 vacancies which are dynamically connected to the rest of the template.
On this page, you can write the opening date, recruiter name, vacancy status, start date, hiring cost, etc. Here it is very important to input dates and costs for the dashboard to give you accurate stats.
The error check column is created for helping you while you are filling in the data. Please do not forget to check that column to avoid any confusion or duplication in the data.
Candidates:
After configuring the vacancies, you can then add all job applications to the candidate’s pipeline tracker page. You should first select the job ID for which the candidate has applied, and then you can enter all other details. Recruitment Tracker Template supports up to 3000 candidates.
According to the job id you selected, the department, job applied for and recruiter column will be filled automatically based on the vacancies sheet. Please do not try to change the grey-colored columns manually.
In addition to the selection phase and decision information, there are 3 informational decision columns for HR View, Hiring Manager View, and Decision Maker View. It is totally up to you whether or not to fills these areas as they’re only for informative purposes. To fill them, just enlarge the grouping for manager views (First “+” sign). Their decision will not be displayed on the dashboard.
**We also added panel decisions in case more than 1 person is involved in the hiring process. You can also keep notes on each step and phase the candidates are in.
Settings:
The settings section is designed to accommodate unique business needs. It is strongly advised to start from this part before moving on to other sections. This will make the user experience even better, as you can adjust things based on your needs right from the start.
You can change/add/remove the recruiters, departments, application sources, vacancy status, selection phases, and currency. In addition, here you can also change the final decision and hire decision labels in a way that suits you the best.

First, you should unlock your sheet to add any shape, including a navigation button.
You may copy and paste one of the existing buttons.
When you click on the shape, you may format the colors, etc. from the Shape Format tab:
You may edit the links by Right-Clicking on the button and then select Edit Link. You may give any links from the Edit Hyperlink wizard:

The year dropdowns are automatically changed according to the earliest and latest dates on your Vacancies and Candidates sheets.
For example, if we add a dummy title with an opening date in 2025, then the Year dropdown on the Dashboard will extend till 2025:

Regarding the question you asked, as default, we do not add a feature to change chart type but you can do that using the Excel function easily.
Just select the chart -> Go to Design Tab-> Click Change Chart Type. You will see all available charts for the data we’ve visualized and change the chart design as you see fit!

The Year dropdowns are totally dynamic in this template; they change according to your data input.
If your data for Vacancies and Candidates sheets have only 2019 and 2020 years, then the dropdown on the Dashboard will give you only these years.
For example when we add a New Title on 17-02-2022, then the filter on the Dashboard will go till 2022.

Once you download the template you can also modify it according to your needs as well. Additionally, you can use the “comment” column that we have already created to add more info about the candidates. But, if you would like to add more complicated features and you don’t have any knowledge about Excel that much, we suggest you apply our customization process.

Under the Candidates sheet, you will see two plus (+) signs on the top side of the table. Please see the image below.
When you click on these signs there will populate extra columns, which also includes the manager views:

We have put four different filter options on the template dashboard section. But, you can not filter the dashboard according to the department selection.
We have noted your suggestion to consider when we decide to update the template in the future. But, for now, you can apply our customization process to add the filter option you needed.

You can remove the logo or replace it with your own logo for each sheet. For Free Versions, you are not allowed to remove the logo or alter any copyrighted material in the template.
You can do it in the full version. Please check how to do that in this link.
