A recruitment tracker is any software or tool to prepare your applicant list and to organize, monitor and finalize your hiring processes, interview stages and job applications.

What does a recruitment tracker include?

The recruit track dashboard might include a candidate database, a vacancies list, a job application monitoring sheet and a dashboard. Also, a settings section might be useful to make the necessary adjustments to customize the template according to your particular needs. This employee sourcing and management tool will also help you monitor your hiring costs and budget.

With a clear recruitment timeline, you’ll improve your applicant assessment, employee engagement, requisition process.

Hiring Process Flowchart

Dashboard:

The recruitment dashboard will give you clear and useful insights into what is the overall situation in the company. Here you can see the number of candidates from the first consideration until hiring, the hiring costs, the active job openings, the percentage of the source distribution of the candidates, and the monthly distribution of job applications.

To show the results and analysis more clearly, the dashboard is divided into two separate parts which are candidates and vacancies statistics.

Hiring Dashboard

In order to make everything as user-friendly and efficient as possible, there are some filters for custom reporting. You can display stats based on your monthly selections, based on months & years, years only, job IDs, departments, or based on recruiters. You can also apply multiple or all filters at once, and the charts will update accordingly in real-time.

Please keep in mind that the date filters on top of the dashboard only affect the recruitment pipeline, sources of applications, and final decision charts of candidate statistics.

Note! The year selections will be specified according to the data you have entered on the vacancies and candidates sheets. So, please fill in the data first to be able to select a year from the dropdown buttons.

Job Application Tracker

There is a separate date filter selection for the number of applications by month. If you leave the year selection empty, the chart will show all of the results. Otherwise, you can filter the chart according to the year selection.

Vacancies:

The Vacancies section is where you can add job openings with all the necessary details. Recruitment Tracker Template supports up to 1000 vacancies which are dynamically connected to the rest of the template.

On this page, you can write the opening date, recruiter name, vacancy status, start date, hiring cost, etc for the relevant position. Here it is very important to input dates and costs for the dashboard to give you accurate stats.

Job Vacancies and Recruiters

Additionally, he error check column will help you while you are filling in the data. Also, please do not forget to check that column to avoid any confusion or duplication in the data.

In summary, this is an open position tracking sheet of the recruitment tracker template.

Candidates:

After configuring the vacancies, you can then add all job applications to the candidate’s pipeline tracker page. In this candidate tracker, you should first select the job ID for which the candidate has applied, and then you can enter all other details. Recruitment Tracker Template supports up to 3000 candidates.

According to the job id you selected, the department, job applied for and recruiter column will be filled automatically. Please do not try to change the grey-colored columns manually.

In addition to the selection phase and decision information, there are 3 informational decision columns: HR View, Hiring Manager View, and Decision Maker View. It is totally up to you whether or not to fill these areas as they’re only for informative purposes. To fill them, just enlarge the grouping for manager views (First “+” sign). Their decision will not be displayed on the dashboard.

**We also added panel decisions in case more than 1 person is involved in the hiring process. You can also keep notes on each step and phase the candidates are in.

Settings for Recruitment Tracker

Finally,the settings section will accommodate unique business needs on your recruitment flowchart. Also, we recommend starting from this part before moving on to other sections.

So, you can change/add/remove the recruiters, departments, application sources, vacancy status, selection phases, and currency. In addition, here you can also change the final decision and hire decision labels in a way that suits you the best.

Here, the selection phases is very important. Here, you will build your recruitment funnel which will be used throughout the recruitment tracker template.

Recruitment Tracker FAQ

This template is compatible with both Mac and Windows systems, provided that Microsoft Excel 2010 or above is installed.

STEP 1 – Decide on the platform – Excel or Google Sheets

You may prefer Excel or Google Sheets versions of the ready-to-use templates.

STEP 2 – Make your adjustments on Settings

On the settings section, you can adjust your preferences.

You can define the open posts in your company. List your vacancies with relevant info such as department, title, opening date, recruiter etc.

STEP 4 – Input your job application data with candidate info

STEP 5 – Input your comments after the interviews

You can add any comments from recruiters in order to make the final evaluation.

STEP 6 – Make your hiring decision

This is the final step. You’ll make a decision on whether to hire or not a particular candidate.

STEP 7 – Track your recruitment activities on Dashboard

You can monitor all the recruitment activities on the Dashboard with dynamic charts and filters.

In order to populate the dashboard with the correct vacancy data, it is essential to define the opening date of each job posting in the Vacancies Sheet.

Absolutely, you can include multiple recruiters in your template in the setting sheet. Simply list their names and you will then be able to pick a recruiter for each job opening in other sheets.

Add different recruiters for hiring processes

Luckily, you can add up to 1,000 vacancies by simply right-clicking the vacancies sheet and selecting the ‘Insert’ option. This will enable me to include all the necessary rows.

    Another question: Is that possuble to add more than 4 recruiters?

      Hi there, thanks for asking, yes you have to change your license to Multi-User. So to do that, please send us an email and we exchange it for you.
      About the other question, yes, you are surely able to add more recruiters, please check the settings sheet first, then please write down the name of other recruiters, so in other parts of template you can use it.

      First, you should unlock your sheet to add any shape, including a navigation button.
      You may copy and paste one of the existing buttons.
      When you click on the shape, you may format the colors, etc. from the Shape Format tab:

      You may edit the links by Right-Clicking on the button and then select Edit Link. You may give any links from the Edit Hyperlink wizard:

      The year dropdowns are automatically changed according to the earliest and latest dates on your Vacancies and Candidates sheets.
      For example, if we add a dummy title with an opening date in 2025, then the Year dropdown on the Dashboard will extend till 2025:

      Regarding the question you asked, as default, we do not add a feature to change chart type but you can do that using the Excel function easily.
      Just select the chart -> Go to Design Tab-> Click Change Chart Type. You will see all available charts for the data we’ve visualized and change the chart design as you see fit!

      The Year dropdowns are totally dynamic in this template; they change according to your data input.
      If your data for Vacancies and Candidates sheets have only 2019 and 2020 years, then the dropdown on the Dashboard will give you only these years.
      For example when we add a New Title on 17-02-2022, then the filter on the Dashboard will go till 2022.

      Once you download the template you can also modify it according to your needs as well. Additionally, you can use the “comment” column that we have already created to add more info about the candidates. But, if you would like to add more complicated features and you don’t have any knowledge about Excel that much, we suggest you apply our customization process.

    said as if we simply want to know what their decision is, open the grouping for management views (first “+” symbol). (Their decision will be hidden from view on the dashboard.)
    how do I do this where is the first + sign?

      Under the Candidates sheet, you will see two plus (+) signs on the top side of the table. Please see the image below.
      When you click on these signs there will populate extra columns, which also includes the manager views:

      We have put four different filter options on the template dashboard section. But, you can not filter the dashboard according to the department selection.

      You can remove the logo or replace it with your own logo for each sheet. For Free Versions, you are not allowed to remove the logo or alter any copyrighted material in the template.
